Youth @ American Flag Rugby Festival - Chester, NJ
Saturday, 07/26/08
teams: Black River, The Bruins, Denville, Long Valley, Mine Hill, Montville, Morristown, Parsippany, Ridgewood Union County guests: Berkeley Heights, Cranford, and Union
Morris Rugby will be hosting the 9th annual American Flag Rugby Festival to be held on Saturday, July 26th at the Black River fields in Chester NJ.
The event will feature over 75 youth flag rugby teams competing in 150 matches on 16 fields in a festival type atmosphere. What makes it a festival is the emphasis on fun and sportsmanship instead of knockout competition.
The sport of rugby features a social setting where rugby players can mix things up off the field over free food and drink by sharing stories of their accomplishments of the day. There will be fruit, bagels, drinks and ice cream provided for all players. Teams interested in playing can contact Tom Feury.
Below are the logistic requirements for this year and teams need to assign parents or coaches to certain job tasks. For our visiting teams this is for informational purposes only. There is no obligation on visiting teams to help run the festival - but volunteers will never be turned away. Additionally, for our visitors, the food and beverages at the festival are free to everyone who attends. Again, if your team happens to have supplies from your home matches feel free to bring them along. Otherwise keep your wallets closed until the after festival party and you can always by us drinks.
Supporting the spreadsheets, below is an explanation of the request list for those of you who may not have done this for a festival before or for those who may not be clear on what we need.
SET UP Friday is just as important as Saturday. Toby, Jim, myself and our kids will begin field setup at 11am. At 2pm we will need 6-9 parents to start lining the fields and setting up the goals. If we get this number to show up we should be done by 5pm. REFEREE FOOD DRIVE As part of Morris Rugby’s commitment to the communities that support us, the referees sponsor this drive for the local food bank. Anyone is encouraged to bring something - even our visitors. Those bringing a non-perishable donations for this drive should drop it off at the referee tent on Saturday. ICE 8# bags or larger. We use a huge amount of ice especially if it’s really hot so the more we have the better. This will supplement the ice donated by the CVFC. WATER Minis work best but the larger size is generally cheaper. I’ll leave it up to you to decide what size you wish to purchase.
GRAPES Seedless type and please be sure they are washed before bringing them to the food tent. Do not assume they are clean from the store. We cannot possibly wash 75 pounds of grapes the morning of the tournament and we do not want anyone getting ill from dirty fruit. BANANAS Try to find ones that are ripe enough to eat. The poundage is approximate because we haven’t asked for bananas before. Someone had brought them at a prior festival and they worked well. If your request seems like it isn’t very many bananas you can bring more if you’d like. If they are really big we can always cut them in half. WATER MELONS Again please wash. We will cut them there unless you feel like cutting your melon in advance. The seedless ones I’ve seen this year have been a great size but decide what is more economical. SNACKS The count is based on a 36 count box of individually packed snacks. If you buy a smaller size container please make sure you adjust your count. If you can get something at least somewhat healthier, like pretzels granolas, or crackers that would be preferable to only salty greasy chips. JUICE BOXES Read the labels carefully. They should say 100% juice only, not “drink boxes” which are mostly sugar. Please don’t be confused by labels saying 100% vit. C. These generally are not 100%juice. The count is for individual packages because there is not one standard size package. You’ll have to figure out how many cases you need to purchase. Extra boxes are always welcome. Sometimes it’s cheaper to buy a larger case. These will be served first thing in the morning. Absolutely no soda please! BAGELS Listed is a count for both sizes. The minis are always easiest but it may be a lot cheaper to buy the large ones and cut them in half. If you want to bring part croissants and part bagels or just croissants, that’s good too. Both work well. Please no salt bagels as the humidity makes them soggy. All counts are the minimum we need. Again if you find that any item is cheaper if you buy a bigger size by all means feel free to do so. These will be served first thing in the morning and until they are gone. BBQ GRILLS We will be cooking lunch for close to 2000 people so we need at least three gas grills. You may want to check around to see if you can get any of these items donated. If you do get a donation please bring a sign stating who donated the item and we will be glad to hang it up in the food tent. If anyone has a connection willing to donate more than you’ve been asked to bring, let me know and we will the request list. I will be purchasing hot dogs, Gatorade powder, rolls, paper goods, butter/margarine, cream cheese etc. If anyone has access to a donation of any of these items, or has leftovers from their home meets that will still be usable, please let me know as soon as possible. The less we have to purchase the better.
We will be going back to making Gatorade in 5 gal. jugs to try to cut down on the litter. In order to make this worth the effort we need to ask each child to bring their own empty drink bottle with their name on it. We will have paper cups available for the parents and guests but we encourage anyone who can, to bring their own water bottles or to reuse one when you get there. If you happen to have Gatorade in bottles that is left from your home game and you need to use them up feel free to bring them along. Please also stress to everyone that we are recycling so please be sure you use the proper garbage can. I don’t think anyone doing garbage duty is going to appreciate having to sort the garbage once it’s bagged. PLEASE make sure the jugs are very clean before you bring them to the food tent.
Anyone who is dropping off non-perishable items on Friday, look for the green scout trailer. We will be putting items in it for easier access. Anyone who is dropping off on Saturday should also look for the trailer as it will be parked at the food tent. Please try to get everything to the site as early as possible.
